Dole Packaged Foods is a large diverse enterprise. Multiple individuals within the organization have purchasing execution responsibility. In addition, we utilize SAP as our primary purchasing/payment system. The ERP package fully integrates numerous key operational and accounting transactions- meaning that mistakes in one area can have a significant impact in numerous areas. Finally, our Accounts Payable function is managed by a shared services group in Philippines-Dole Business Systems. Must follow company policies and safety procedures.


  • Take direction from Purchasing Supervisor and assist Purchasing Specialist with day to day task.
  • Organize and Maintain Office Supplies Stock Room on an ongoing
  • Prepare purchase orders, send copies to suppliers and department originating requests for Office, Lab, IT Supplies and
  • Contact suppliers to schedule or expedite deliveries, resolve shortages, missed or late deliveries, and other issues on an ongoing basis.
  • Review open purchase orders and purchases going thru PO approval to estimate arrival of product for cash flow
  • Verify shipments upon arrival to ensure orders have been filled correctly and submit packing slips for goods receipt within SAP.
  • Run “Open Order Report(s)” and update/close orders accordingly within
  • Review vendor inventories and update to match within SAP.
  • Prepare Vendor Master Requests as needed
  • Maintain Approved Supplier Program records as well as request subsequent from QA related documents
  • Resolve invoice discrepancies initiating from xSuite [SAP integrated system]and provide appropriate accounting instructions for variance and process
  • Periodically Update SAP Purchasing Info Records and Print Message Options
  • Coordinate Annual Archiving of Purchasing records
  • Provide Administrative support to the Purchasing Manager as requested 


  • Candidate should have knowledge of administrative and clerical procedures, managing files, records and other office procedures and terminology.
  • The person in this position should possess the knowledge of principles and processes for providing customer and personal services.
  • Effectively communicate information to supervisors, co-workers, and subordinates by telephone, in written form, e-mail, or in person.
  • Ability to use logic and reasoning to identify strengths and weaknesses of alternative solutions, conclusions or approaches to
  • Possess basic mathematical skills

Work Environment:

  • Office environment in an industrial plant with related noise and temperatures

Physical Requirements:

  • Must be able to climb stairs
  • Must be able to lift 25 pounds
  • Requires climbing, standing, stooping, twisting, lifting and other physical movements to perform job
