The Workplace Operations Coordinator is based in Westlake Village five days per week and supports Dole’s U.S. Headquarters by ensuring the smooth and efficient operation of office facilities. This role is responsible for maintaining a clean, safe, and well-organized work environment, managing vendor relationships, coordinating office services, and supporting day-to-day administrative functions.

Responsibilities

  • Oversee daily facility operations including maintenance, repairs, and cleanliness.
  • Serve as the primary liaison between the company and property management/landlord.
  • Coordinate office services such as hospitality, reception, and supply management.
  • Monitor and manage facility-related budgets and expenditures.
  • Source, negotiate, and manage vendor contracts; ensure timely maintenance of facility appliances.
  • Track costs and identify opportunities for savings and operational efficiency.
  • Implement and maintain inventory systems for office supplies and equipment.
  • Respond to facility-related inquiries and resolve issues promptly.
  • Support administrative tasks including scheduling, event coordination, and guest management.
  • Perform minor maintenance tasks and troubleshoot office equipment issues.
  • Maintain communal areas to ensure a clean and organized environment.
  • Provide backup support to mailroom staff and other office functions as needed.
  • Other duties as assigned

Qualifications

  • 3+ years of experience in a corporate office setting or facilities management role.
  • Strong computer skills, including O365.
  • Strong organizational and problem-solving skills.
  • Excellent communication and customer service abilities.
  • Knowledge of facilities management best practices.
  • Experience with budgeting, vendor management, and contract negotiation.
  • Ability to work independently and prioritize tasks effectively.

Education & Certification:

  • High school diploma or equivalent

Physical Requirements:

  • Ability to sit and use the computer for extended periods of time; ability to answer phones and use a variety of office equipment; ability to lift 50 pounds and reach overhead; ability to stand for prolonged periods.
  • Ability to regularly sit, stand, climb, balance, stoop, walk, kneel, crouch, crawl, use hands to manipulate tools and equipment, and repetitively reach with hands and arms.
  • Ability to drive personal vehicle short distances for post office pickups and some package drop offs and supply purchases if necessary

Travel Requirements:

  • Daily travel required, primarily local to the office (i.e. post office, stores for supplies, etc.)
  • Reliable transportation to/from work, including a valid drivers license to perform daily errands

FOR JOBS BASED IN CALIFORNIA:

Hiring Pay Scale: $55,000 to $65,000

The pay rate offered will consider a wide range of factors, including but not limited to experience, education, accomplishments, and location. Pay scales are subject to review on a regular basis and will be updated as appropriate.
